- Open the sheet you want to print.
- Select the Page Layout tab of the ribbon.
- Highlight the cells making up the print area.
- Click the Print Area tool in the Page Setup group. Excel displays some choices below the tool.
- Click on Set Print Area.
Another way to set the print area. which provides more flexibility, is to:
- Open the worksheet you want to print.
- Select the Page Layout tab of the ribbon.
- Open the Page Setup dialogue box by clicking the small icon in the bottom right corner of the page setup group.
- Select the Sheet tab.
- Click the up arrow at the end of the Print Area field and select the range to print or input the range in the print area field
- Click on OK.
To print multiple ranges, simply enter the ranges (or names) separated by commas, for example, A5:H20,D30:K50.
Be aware, though, that if you use this method, that once the print area is defined, Excel will only print that selection until the option is changed or removed. You will need to change it if you need to print a different range or the entire spreadsheet.
